Inaugurated in 2006, within a building designed by internationally renowned architect Ieoh Ming Pei, Mudam is the contemporary art museum of Luxembourg. Our mission is to collect, conserve, and present the most relevant contemporary art of our time and make it accessible to a wide audience. We aim to be a leading actor in the promotion and understanding of contemporary art through our exhibitions, publications, and artistic and educational programs. Our museum has always been a place of artistic creation and collaboration with artists.

Job Description:
Mudam Luxembourg – Musée d’Art Moderne Grand-Duc Jean is seeking a dynamic and committed Collection registrar to join our Artistic Department. This position reports directly to the Head of Production and works closely with the Collection Service team.
The Collection Registrar is responsible for the long-term documentation and management of the museum’s collection. This role oversees the planning, coordination, and execution of all technical and scientific aspects related to the installation, maintenance, movement, and conservation of artworks within Mudam’s Collection. As project lead for assigned collection-related initiatives, the Registrar ensures that all activities align with the museum’s curatorial vision while adhering to budgets, timelines, and legal regulations.
Main Responsibilities
- Contribute to the strategic planning and development of collection conservation policies and procedures
- Uphold the best practices in museography, conservation, and collection management, ensuring compliance with legal and ethical standards, including international conventions such as UNESCO and ICOM
- Organize and manage all internal movements of the collection items within the institution.
- Coordinate loans related to the collection at both national and international levels.
- Assess project feasibility while ensuring compliance with budgets, technical and scientific specifications, and logistical requirements, maintaining international museum standards.
- Plan, schedule, and supervise all phases of collection displays, from preparation to installation and deinstallation.
- Source and liaise with suppliers and contractors; request and evaluate quotes to ensure cost-effective, high-quality services.
- Prepare, manage, and monitor budgets related to collection storage, transport, insurance, installation, and production.
- Ensure accurate documentation and registration of all collection items.
- Recruit and supervise installation teams or coordinate with external service providers as required.
- Manage the installation process, including hanging and placement of collection artworks, in close collaboration with the collection, curatorial, building, and production teams.
- Oversee the dismantling, packing, and shipment of artworks following the conclusion of the collection displays.
Technical Coordination & Installation
Art Handling, Conservation & Storage
- Ensure proper handling, registration, and preservation of all collection artworks, including loans, commissioned works, and collection displays. Maintain detailed and up-to-date condition reports.
- Supervise routine condition checks and oversee the long-term maintenance of collection items.
- Identify conservation requirements and coordinate necessary treatments, including engagement of external specialists when needed.
- Maintain optimal storage conditions and manage supplies essential for safe storage and accurate registration of the collection artworks.
- Organize and maintain the physical storage layout to ensure accessibility and safety.
- Organize and oversee all transportation of collection artworks, coordinating with transport agents, customs brokers, and insurers.
- Manage fine art insurance policies and conduct risk assessments.
- Ensure full compliance with import/export laws and customs regulations.
- Draft, review, and negotiate collection loan agreements and contracts with artists, borrowers, and contractors.
- Act as courier of the loaned collection artworks in Luxembourg or abroad when needed.
Logistics & Risk Management within the framework of Museum international standards
Communication & Coordination
- Foster strong relationships with internal departments and external stakeholders (artists, curators, galleries, collectors, shippers, borrowers, restorers, etc.).
- Ensure the flow of information between and coordinate dates with internal and external partners.
- Represent the production and collection services at internal and external meetings.
- Serve as a key point of contact for external suppliers during production and installation.
Preparation of the Collection
- Evaluate technical and budgetary feasibility of assigned projects.
- Monitor expenditures in line with Mudam’s financial protocols.
- Collaborate with production and collection to draft project budgets and operational plans.
- Ensure efficiency and sustainability in all operational practices.
Your Qualifications
- Minimum of 5 years of proven experience in collection and exhibition management within a museum or arts institution.
- Bachelor’s degree in Fine Arts, Museum Studies, Art History, or a related field.
- Solid understanding of collection care principles and museum processes; familiarity with sustainability and risk management in cultural institutions.
- In-depth knowledge of museum best practices, including conservation standards and preventive care.
- Understanding of material properties and their aging processes is considered an asset.
- Proficient in the use of collection management software, knowledge of MuseumPlusis a plus.
- Strong technical expertise in art handling, installation, conservation, and logistics.
- Thorough knowledge of international loan procedures, customs compliance, and transport regulations.
- Exceptional organizational, negotiation, and communication skills.
- Ability to manage budgets and complex project timelines effectively.
- Fluency in French and English, knowledge of German and Luxembourgish is a plus.
- Valid driver’s license (Permis B) required.
