Administrative Assistant (Accounting and Human Resources)

Mudam Luxembourg – Musée d'Art Moderne Grand-Duc Jean is looking for an administrative assistant for its Ressources et Fonctionnement department.
Designed by the internationally renowned architect I. M. Pei and inaugurated in 2006, Mudam is a leading cultural institution in Luxembourg and the Greater Region. Its emblematic building houses an internationally renowned contemporary art collection.
Your mission
Under the authority of the Administrative and Financial Director and to support our administrative department, we are looking for a dynamic and meticulous Administrative Assistant. You will work in close collaboration with the accounting department and the Human Resources Manager.
Key responsibilities
Accounting support
- Data entry and encoding of supplier and customer invoices.
- Assisting with payment preparation and tracking schedules.
- Filing, archiving and digitising accounting documents.
- Administrative mail management.
General administrative support
- Inventory management and ordering of office supplies.
- Managing business travel (booking hotels, flights, trains, etc.).
- Purchases related to representation expenses.
Human resources support
- Administrative assistance in personnel management (updating employee files, tracking medical check-ups, etc.).
- Helping track attendance, leave and absences.
- Logistical and administrative support during the onboarding of new employees.
- Drafting and formatting various administrative documents.
Your profile
- Degree in executive secretarial studies, administrative management, accounting or human resources (or equivalent experience).
- First successful experience in a versatile administrative position.
- Excellent command of common IT tools (MS Office Suite) and proficiency with management/accounting software.
- Proficiency in Odoo is considered an asset.
- Meticulousness, strong organisational skills, and the ability to manage priorities.
- Absolute discretion and respect for confidentiality (HR and financial data).
- Fluency in French. Knowledge of English, German or Luxembourgish is an important asset.
Conditions
- Full-time fixed-term contract (CDD) until December 31, 2026.
- Position based at Mudam, Luxembourg-Kirchberg.
